✔ Overpayment: If the customer accidentally paid more than the invoiced amount, the excess will be refunded.
✔ Advance Payment Cancellation: If the customer cancels a prepaid service before work begins, they will receive a full refund.

💡 Note: Refunds are provided only when BigT Computer Services is at fault, or if the service could not be completed successfully.

 

2. Refund Conditions & Deductions

Refunds are subject to the following conditions, adjustments, and exclusions:

✔ Completed Services Cannot Be Refunded: If a service was successfully completed, refunds do not apply, unless an error occurred.
✔ Partial Refunds for Unfinished Services: If a customer cancels a partially completed repair, they may receive a partial refund, adjusted based on the work already done.
✔ Labor Costs Deduction: Refunds for incomplete services may be reduced based on technician time, resource usage, and diagnostics conducted.
✔ Cancellation Fees: If a service is canceled after technicians have started working, a small administrative fee may apply.
✔ Refunds on Physical Components: If a refund request involves hardware purchases, the component must be returned unused in its original condition.

💡 Example: If a customer paid for a laptop screen replacement but cancels after the screen was purchased, only the labor fee will be refunded, not the cost of the screen.

 

3. Refund Processing & Timelines

Refund requests are processed within 5–10 business days depending on payment method.

❌ Third-Party Software or External Issues: BigT Computer Services is not liable for issues related to unsupported applications, illegal software, or external IT failures.
❌ Customer Disputes Without Valid Cause: If the customer is dissatisfied but the service was completed correctly, refunds may not be granted.
❌ Damage Beyond Repair: If a computer or device is physically broken beyond repair, refunds will not be issued for attempted troubleshooting.
❌ Unapproved Work Completed: If a customer authorized additional repairs but later changes their mind, refunds will not apply.

💡 Example: If a customer requests software installation and optimization, but later decides they don’t want it, the service cannot be refunded since it was correctly performed.

 

5. How to Request a Refund

Customers can request a refund by following these steps:

✔ Step 1: Contact BigT Computer Services via email, phone, or in person within [XX] days of service completion.

If a customer requests recovery for a formatted external hard drive but no files can be retrieved, the service fee is fully refunded.

1.2 Guaranteed Refund for Software Installation & Optimization

Customers are eligible for a full refund if software installation or system optimization fails due to technical issues.

✔ Full Refund: If BigT Computer Services cannot install or configure the software due to hardware/software incompatibility.
✔ Activation Failure: If the installed OS or Office software fails to activate due to licensing errors, the customer receives a full refund.
✔ System Instability: If post-installation optimization causes errors or performance issues, a free corrective service will be provided, or the customer may opt for a refund.

💡 Example:
If a customer requests Windows OS installation, but activation fails due to a licensing error, the installation fee is refunded.

1.3 Guaranteed Refund for Virus Removal & Security Services

Customers are entitled to a refund or free re-service if malware removal is incomplete.

✔ Free Repeat Service: If viruses persist after cleaning, the customer gets a free re-service within [XX] days.
✔ Refund for Failed Removal: If malware remains active after full cleaning, a refund may be issued.
